Training, boarding and walking across Aylesbury and Banbury, run out of messages and a paper diary. We replaced the lot with one system: courses booked and paid for online, a record for every dog, and a staff side the team actually works from.

Where it started

Three businesses, one inbox.

Quality Chops is a dog training company running out of Aylesbury and Banbury: puppy classes, adolescent courses, group and private lessons, detection and scentwork, residential training, plus boarding, daycare and pack walks. Three different businesses, really, sharing one team and one diary.

Every one of them was being run through messages. Course places held in a notebook, payments chased by hand, vaccination records in a folder, and the handling notes that actually matter, like how a dog is around joggers or what it reacts to, living in the head of whoever walked it last.

The site leads with film of the team out on a pack walk rather than stock photography, because the thing people are buying is those trainers with their dogs.

Booking

Pick a course, see every date, pay up front.

Booking walks through one question at a time: what are you after, which intake, then the dates. A seven-week puppy course shows all seven Saturdays before anyone pays, because the single most common question was always which weeks am I actually committing to.

Courses are paid for in full at the point of booking, so a place is a place. A free fifteen-minute discovery call sits at the top of the same flow for anyone not ready to commit, and the enquiry-only routes (training packages, wedding chaperoning) run through it too.

The members’ area

Every dog in the house, with its own record.

Owners get an account per household rather than per dog, because most families book for more than one. Each dog carries its own profile: breed and age, vaccination status and flea and worm dates, vet practice and insurance, and the handling notes that used to live in someone’s head.

From there they can see what is coming up, follow the training plan, read the visit report after a walk or a boarding stay, work through the courses they have paid for, and message their trainer directly. Records and agreements are signed in the same place, so nothing depends on remembering to bring a form.

The staff side

The team opens one screen and knows the day.

Staff sign in to their own console. It opens on today: sessions booked, what has been taken in payments, shop orders waiting, and a run sheet for the diary. Next to it sits the thing a trainer actually needs before they start: medical, vaccination and consent flags on the dogs coming in that day.

The calendar runs the barn and boarding as separate columns, so classes and daycare capacity are read at a glance rather than reconciled in someone’s head. Bookings land in it on their own, and any day can be pulled out as a calendar file for a trainer’s own phone. Around it: report cards, approvals, the dogs each trainer sees, rota and closures, reminders, and per-person access for the team.

The shop

An added shop, to bring it all together.

The leads, lines, collars and handling kit are hand-made by Very Fetching, a local maker about two miles from HQ. Quality Chops use her gear themselves on walks every day, which is why they asked her to make their own colour range. They were selling it by message too.

Now it sits in a shop on the same domain, with colour options per product, stock and orders managed from the staff console, and the choice of free collection from HQ or posting out.
